Growth tracking

The drop-in visit nobody wrote up is the one that never turns into anything

An outreach pipeline your team can update from the car park, partnerships and RFPs with their deadlines, goals that read their own progress out of your daily log, and a leaderboard across locations.

The difference

Why it gets used instead of a spreadsheet nobody opens

Logged before you leave the parking lot

Quick Log is four taps: who you saw, whether it was a visit, call, email, event or referral, how it went, one line of notes. Picking "Meeting set" moves them to Meeting Scheduled for you. Nobody writes it up back at the clinic, which is the step that never happens.

Photograph the business card

Snap the card and it reads the name, contact, job title, email, phone and business type, then shows you what it found before anything is saved. The card image stays attached to the record.

The follow-up chases you

Set a follow-up date and you get an email the day before and the day of, worked out in your clinic’s own timezone. Overdue follow-ups turn red on the board so a stalled conversation is visible rather than forgotten.

Also included

  • A drag-and-drop pipeline: Contacted, Follow-up, Meeting, Proposal, Nurturing, Won and Lost. Drag a card to move it. Each card shows the contact, how you last reached them, the follow-up date and the patients per month you think it is worth.

  • Partnerships and RFPs tracked separately, because a bid is not a sales conversation. Draft, In review, Submitted, Awarded, Declined, Expired, each with a deadline. When a deadline passes it asks whether you submitted it rather than quietly going stale.

  • AI that drafts the outreach email and the phone script for a specific business, suggests which follow-ups to make next, and reads your pipeline for what is working and what is stuck. It writes, you send. Nothing is sent on your behalf.

  • Opportunity discovery: give it a radius and a few keywords and it looks for employers, gyms, schools and organizations near the clinic worth approaching, with what it found and why it fits.

  • Analytics: touches per day over the last 30 days, where every business stands right now, a breakdown by outreach type and business type, win rate, and a print-ready summary table of the month.

  • Goals that follow any number the app already tracks: visits, patients per hour, NPS, Google rating or your own custom metrics. Each one shows its pace ("on pace to land at 92"), can be split across locations as a company-wide goal, and only numbers from outside the app are typed in by hand, with a comment saying who moved it and why.

  • Targets per location: a standing baseline for a metric and a number for a specific month, set either as an average per operating day or as a monthly total. A pace strip says ahead, on, or behind, and a weekly email flags the ones at risk.

  • A clinic leaderboard ranking locations on supply cost per visit or on patient-volume growth, by month or by week, with medals for the top three and the spread across the group underneath.

  • Export to CSV or straight into a Google Sheet, for outreach and for partnerships.

How it works

From a drop-in visit to a won account

  1. 1

    Someone does a drop-in

They log it from their phone in the car park, or photograph the business card and let it fill the form in. A specific location has to be selected, so the record belongs somewhere from the start.

  2. 2

    It lands on the board

The business sits in a column with its follow-up date. Anything overdue turns red. Every later conversation gets added underneath as a dated note.

  3. 3

The system keeps the thread alive

Follow-ups due today or tomorrow go out by email to whoever logged them, resolved against the clinic’s own calendar day. The AI assistant can propose the next move on the ten oldest open conversations and set the dates for you if you accept them.

  4. 4

A deal lands, or it does not

Drag it to Won or Lost. Both are worth recording: the analytics read win rate and pipeline shape off the whole set, not just the wins.

  5. 5

Goals and targets say whether the month is working

Goals move themselves as the numbers come in, and patients per hour shows how each location and provider is doing against its target. Monthly targets show ahead or behind pace, the at-risk ones email you on a Monday, and the leaderboard shows how the locations compare.

FAQ

Questions clinics ask first

Which goals actually update themselves?

Any goal tied to a number the app already tracks: patient volume, patients per hour, NPS, Google rating, call metrics, or a custom metric you log. The goal reads its own progress, shows whether it is on pace and where it is likely to land, and marks itself complete when it gets there. Goals about something the app cannot see, like revenue from your billing system, take a number and a short comment from a person, so the record says who moved it and why.

Can I see how many patients an employer actually sent us?

No, and we would rather say so than let the page imply otherwise. Outreach records are not joined to visit data, so the patients-per-month figure on a card is your own estimate of what a relationship is worth, not a measured result. What the app does show you is the volume side separately: daily patient volume per location, by growth driver, against baselines and monthly targets. Tying a named referral source to visits is not something this product does today.

Does it connect to our CRM?

No. There is no Salesforce, HubSpot or Pipedrive integration. Outreach and partnerships export to CSV or straight into a Google Sheet, and outreach can sync a follow-up to your Google Calendar. If you already run a real CRM for this, this is not a replacement for it. It exists for clinic teams who are currently doing outreach out of a notebook and a group text.

What does the leaderboard rank on?

Two things, and only two. Cost efficiency, which is supply cost per visit with the lowest first, and volume growth, which is the change in patient volume measured against the same number of elapsed days last month or last week so a half-finished month does not read as a collapse. It does not rank on outreach, goals, compliance or checklists. It appears on the Org Overview for admins and supervisors, across the locations assigned to them.

Is the funnel a real conversion rate?

It is a snapshot, not a cohort. The app records where each business stands now, not the date it moved between stages, so the funnel tells you the current shape of the pipeline rather than how a set of leads converted over time. Useful for spotting a stage everything is piling up in. Not a substitute for a sales analytics tool.

Who is this part of the app for?

Admins, supervisors and managers. Outreach, Goals and Targets do not appear in the navigation for clinic staff, since they are a management view rather than a shift-floor one. The whole Growth section can also be switched off for an organization that does not do outreach, and the rest of the app carries on without it.
